Getting started (Heads of Department)

  1. Sign in at your school’s address (for example fikr.portfolio.satblueprint.org) and create your department.
  2. Folders: pick a ready-made set (national, IB, American, British) or create your own, such as “Lesson Plans, every Wednesday”.
  3. Teachers: paste their school email addresses. Each gets an invitation email with an Accept invitation button.
  4. Your Inbox shows work waiting for review and overdue work. The Get started checklist tracks your progress.

Adding and managing teachers

Go to Teachers and paste one email per line, or a list copied from a spreadsheet. Use exactly the email they sign in with (their Microsoft or Google school account). To change someone’s email, remove them and add them again. Switching a teacher off keeps their work but removes them from new due dates.

Folders, due dates and templates

A folder is one kind of paperwork or duty with a schedule: every week on a weekday, or once on a date. It can be for all teachers or selected ones. You can tick No file needed for duties such as an assembly, so teachers simply mark them as done.

Optional extras: a review rubric (up to 6 criteria scored 1–4) and standards this folder shows. For example, Lesson Plans counts toward Ministry item 6 automatically.

Handing in work (teachers)

Open My portfolio. Each due date has a square: drag files onto it, or tap it to choose files or take a photo with your phone. Up to 50 MB per file; PDF, Word, PowerPoint, Excel, images, audio and video. You can add a note to your HoD and a reflection on what worked. Work that is sent back shows the HoD’s comment: fix it and hand in again. Approved work is locked.

Reviewing work

From the Inbox, Approve in one tap, open Review… to preview files, or Review one by one to go through everything in order. Send back needs a short comment. Tick Save this comment to reuse to build your comment bank. You can also approve several items at once (Approve selected) and mark outstanding work as an exemplar for the department.

Standards and the appraisal file (ملف شواهد الأداء)

The school manager chooses the frameworks on School overview → Standards and evidence: Ministry evaluation, ETEC, Cognia, Danielson or ISTE. Teachers and HoDs tag hand-ins from each card, and folder defaults tag them automatically. One tag can count across frameworks.

The Appraisal file collects each teacher’s evidence for the year by standard, with goals, training and observations. Print it or save it as PDF. It’s also included in exports. The school manager’s Evidence pack gathers approved evidence from every department for accreditation (for example Cognia), with a CSV download.

Goals, training and observations

My growth holds 2–3 goals for the year (your HoD agrees them), your professional development log with hours, and lesson observations shared with you, where you can respond. HoDs record observations under Observations; they stay drafts until shared. Insights shows on-time hand-ins week by week, review time and training hours. Use it to support teachers, not to rank them.

Exports and portfolios

Exports builds a ZIP of everything handed in (one teacher or the whole department) with a printable summary and each teacher’s appraisal file. You get an email when it’s ready; downloads are kept for 14 days.

Signing in and two-step sign-in

Sign in with Microsoft, Google, or your email and password. Forgot password? sends a reset link. Owners and school managers must use two-step sign-in: a 6-digit code from an authenticator app. Anyone can turn it on in My account. Lost your phone? Type a recovery code instead. If you have none left, ask support to reset it. Sign out of all other devices is on My account.

For school managers

The School overview shows every department: approved, waiting, overdue, on-time rate and review time. You can open any department view-only. On Standards and evidence you choose the frameworks, add your school’s own items (such as numbered Cognia standards), and open evidence packs.

Privacy and your data

Your school controls its data. Files stay in TeachFolio’s storage or your school’s own Google Drive or OneDrive. Please avoid uploading students’ personal details unless your school allows it. You can download your data or delete your account from My account. See the privacy notice.
